Travel Planning Competition Terms and Conditions
In order to administer our various competitions, Southampton City Council requires certain information about you. We will use the information to enter you and your child into the relevant competition and for contacting the winner(s). The legal basis for our use of this information is that you have given your consent.

Competition Terms and Conditions for the Walktober Challenge
The Promoter of this competition is the Southampton City Council Travel Planning Team at Civic Centre, Southampton, SO14 7LY (the “Promoter”).
The competition will start on 1st October 2025 and close on Friday 7th November 2025 for online entries and Friday 14th November 2025 for entries received via courier.
Online entries received after 11.59pm on Friday 7th November 2025 will not be counted. Entries received via courier must arrive by Friday 14th November 2025.

Pupils Walktober Challenge competition: Email completed Walktober Reports to info@myjourneysouthampton.com, including in the subject title, ‘Pupil Walktober Entry’. Where schools provide assistance to pupils in entering the competition, they can either email to info@myjourneysouthampton.com or post to F.A.O Rachel Oliver, Transport and Planning Service, Southampton City Council, Civic Centre, Southampton, SO14 7LY.
Schools Walktober Challenge competition: Please attach to an email and send to info@myjourneysouthampton.com, including ‘Walktober School Entry’ in the subject heading.
The competition is only eligible for settings within Southampton City Council’s boundary.
By either pupils completing and submitting a Walktober Journey Report, and or schools completing and submitting their Walktober Inspirational Stories entrants are consenting to Southampton City Council Travel Planning Team processing their personal data for the purposes of this competition and subject to these terms and conditions. Entrants may be aged under 18 but will require parental consent and be UK residents. This promotion excludes any employees of Southampton City Council Travel Planning Team, their families, agencies or anyone else connected with this promotion.
One (1) entry allowed per person. However, multiple individual entries may be submitted together (for example, a parent / carer on behalf of children or a school on behalf of its pupils). Incomplete or late entries will not be accepted. The Promoter reserves the right to discount or disqualify any inappropriate or offensive entries.
The competition is free to enter and there is no purchase necessary.
Entries received by courier will be entered in to the competition, as long as they are received by Friday 14th November 2025. Entries received by courier cannot be returned to the entrant. Once the competition has been judged, any paper entries will be destroyed.
Pupils Walktober Challenge competition: There are 5 prizes to be won. Winners will receive items appropriate to their age from a selection of a book, outdoor activity kit or a voucher up to the value of £10.
Schools Walktober Challenge competition: There are 2 prizes to be won. One winner will have the choice of one of the following:
Pool of scooters, cycle stand or scooter stand.
Maximum prize value of £250.
One runner up will receive the following:
£50 voucher for gardening or books.
Maximum prize value of £50.
The prizes are non-negotiable, non-refundable, non-transferable and non-exchangeable and no cash alternative offered.
The Promoter reserves the right to provide a substitute prize of equal or greater value should the prize granted become unavailable for reasons beyond its control.
Pupils Walktober Challenge competition: The entries will be judged by the Travel Planning Team at Southampton City Council. The winners will be notified by Friday 28th November 2025 or as soon as practicable after this date via email to the contact details supplied.
Schools Walktober Challenge competition: The entries will be judged by the Travel Planning Team at Southampton City Council. The winner and runner up will notified by Friday 28th November 2025 or as soon as practical after this date via email to the relevant schools.
The Promoter will make all reasonable efforts to contact the winners and runner up. If either the winners or the runner up cannot be contacted or are not available or have not claimed their prize within 28 of days of being notified, the Promoter reserves the right to offer the prize to the next runner up as judged by the Travel Planning Team at Southampton City Council.
A confirmation email with details of the prizes will be sent to the contact details supplied.
Pupils Walktober Challenge competition: The winners will be sent their prizes to their schools.
Schools Walktober Challenge competition: The winner and runner up will be sent their prizes once they have chosen their prize.
The Promoter will use the entrant’s personal data (first name, age and school attending) for carrying out the competition promotion and future event promotion. The Promoter will use the personal data given with the entry to contact the winner. The Promoter will also contact the winners’ schools to let them know they have a pupil with a winning entry.

You agree to be bound by the decisions of the Promoter, which are final in all matters relating to the promotion. No correspondence will be entered into.
Entrants are deemed to have accepted and agreed to be bound by these terms and conditions upon entry. The Promoter reserves the right to refuse entry or refuse to award the prize to anyone in breach of these terms and conditions.
The Promoter reserves the right to update and amend these terms and conditions at any time to the extent necessary to comply with any applicable laws, regulations or other guidance.
These terms and conditions shall be governed by and construed in accordance with English Law and the parties agree to submit to the exclusive jurisdiction of the Courts of England.

Southampton City Council collects information about you to provide you with Travel Planning Services and to inform how our services are delivered. We will use the information (i) to contact if you or your child has won in a competition (ii) if you or your child is a winner or runner up to use for future event promotion (iii) if you are a member of a Southampton City Council school who is submitting competition entries on behalf of your pupils (iv) for analysing where journeys to school are being made from (v) to contact you about a service that you have requested further information on (vi) to support us in writing a travel plan on behalf of a school to summarise travel and access issues, and propose solutions (vii) if there is a safeguarding matter that we become aware of highlighted in the survey forms, we will need to share this with the Headteacher for them to action, where appropriate.
The legal basis for our use of this information is where the data subject has given explicit consent to processing for specified purposes. All data will remain within the UK/EEA and will only be shared with third parties where they are undertaking data processing on behalf of Southampton City Council. We may share your personal information with the organisation named in this survey or, where there is a competition and the prize is to be given by another agency, we would provide them with your details if you are a winning entry.
We will keep your personal information for up to five years plus the current year, after which it will be deleted or destroyed. If you wish to withdraw an entry from one of our competitions, please email us. In doing so, we will delete your personal data provided as part of the submission.
